Trip Booking Terms and Conditions

Nepal Hiking Pvt. Ltd. – Trip Booking and Cancellation Policy


Accepting the following terms and conditions is mandatory before booking a trip with Nepal Hiking Pvt. Ltd. This agreement is between you, the lead Booker (“you”), and Nepal Hiking Pvt. Ltd. (“Nepal Hiking”).

1. Booking Confirmation

  • A booking is confirmed once the required down payment is received.

2. Payments

  • Down Payment: 20% of total trip cost to confirm the booking.
  • Remaining Balance: Due 8 weeks before departure.
  • Payment Methods: Cash, card (a 3.5% service fee applies for all card payments), or via authorised partners.
  • Online Payments: 100% secure and handled safely through NIC Asia Bank. Nepal Hiking holds an official assurance letter from the bank confirming the safety and reliability of all card transactions.

3. Standard Trip Cancellation Policy

4. Peak Climbing and Expeditions Cancellation Policy

Note: Costs for Climbing Permits, Insurance, and Equipment Allowances are non-refundable at any time.

5. Trip Changes and Unforeseen Circumstances

  • Nepal Hiking may cancel or alter a trip due to war, natural disasters, strikes, insufficient group numbers (for group tours), or other emergencies.
  • An alternative trip of a similar standard may be offered.
  • If the alternative is declined, a full refund will be provided, except for any 3.5%–4% credit card fees.
  • Nepal Hiking accepts no responsibility for any losses incurred due to such changes.

6. Participants’ Responsibilities

  • Ensure you have valid passports, visas, permits, and trip insurance.
  • Follow local laws and regulations. Violations may result in removal from the trip without refund.

7. Travel Insurance

  • Travel insurance is not included.
  • Comprehensive insurance covering medical expenses, personal accidents, and rescue evacuation is strongly recommended.

8. Health and Safety

  • Participants must be physically fit for their chosen trip.
  • Any pre-existing medical conditions should be disclosed prior to booking.
  • Nepal Hiking is not responsible for accidents or health issues that occur during the trip.

9. Liability

  • Nepal Hiking is not responsible for any losses, delays, or additional costs incurred due to cancellations, changes, or emergencies beyond our control.
  • By booking, participants agree to these terms and acknowledge the potential risks involved in travel and adventure activities.
